Position Objective:

Perform front desk receptionist/switchboard activities that are vital to the image and identity of the company. Is the first point of contact for callers and visitors to Wagner.

Responsibilities:

% of Time No. Priority Order
20% 1 Operate telephone console, receiving incoming calls and directing callers to the proper party. General requests for information are answered applying established guidelines. Ensure backup receptionists are in place and trained and will schedule as necessary.
20% 2 Welcome and assist all vendors, customers, and visitors and see they are promptly put in contact with appropriate personnel. Register visitors and issue visitor’s badges as required.
10% 3 Ensures lobby, main entrance, and front walkway is presentable, safe, and secure. Monitors equipment to ensure good operating condition.  Make sure product displays are up to date as our products change by working with appropriate departments. Notify maintenance for removal of ice, snow, or debris from front walkway or needed repairs for lobby.  Maintain visitor greeting counter by making coffee and restocking supplies.
15% 4 Responsible for daily operation of the mailroom. Distribute incoming mail and process outgoing with precise postage required. Distribute or notify recipients of incoming items such as faxes, UPS deliveries, courier deliveries, or office supplies.  Setup outgoing UPS front desk shipments.
5% 5 Schedule and maintain occupancies of conference rooms.
25% 6 Support other departments by assisting with miscellaneous office tasks doing whatever is needed to provide support (e.g. assist with outgoing invoices, Wagner and Titan mailings, etc.). Seeks work during down times.
5% 7 Performs other duties as appropriate or delegated.

Education

  • High School Diploma or GED required

Experience

  • Previous experience in a front desk reception role is preferred.
  • Six months training involving handling incoming company phone calls using the switch board, incoming/outgoing mail, receive and sort faxes, process UPS mailings, scheduling of conference rooms, train backups, greet and assist visitors, help other departments, and hold a cheerful countenance at all times.
